Clip IT Solutions Ltd are developers of Construction Industry Accounts (CIA), a software package that has been written to meet the unique accounting requirements of the construction industry.  This is not a generic accountancy package and its applications are specific to the industry. It fully integrates job costings, stage payments, certifications and applications, as well as linking directly to the HMRC for seamless CIS subcontractor verification and monthly returns.  The integration enables details to be updated across all relevant software, so one entry is all that’s needed, saving your business time and reducing the occurrence of input errors.

CIS Software

As a contractor within the construction industry you are obligated to adhere to the rules of HMRC’s Construction Industry Scheme (CIS) which states how subcontractor payments must be managed.  As the CIA software has been written specifically for the construction industry it complies fully with the CIS scheme.  The software allows you to record all payments, as per the rules, and as it links directly to HMRC it will verify each subcontractor, work out what rate of deduction to apply and then automatically apply it.  CIA also uses the HMRC Electronic Data Interchange to send returns to HMRC.

Construction Industry Accounts Software

Construction Industry Accounts Software (CIA) has been designed specifically for the UK building industry and as such you’ll find everything in one complete, fully integrated package without having to add other building industry centric spreadsheets and packages.  Everything has been written exclusively for the needs of the building industry, we don’t use generic packages. The integrated software will save you time by automatically updating all applicable jobs across accounts, ledgers, job costings and VAT.  CIA will even update you with any UK Construction Industry Legislation changes to ensure you stay compliant.

Sales Ledger

Make raising Sales Invoices as easy as possible with CIA Sales Ledger. Simply enter the customer’s code with an order number, if applicable, and the invoice date.  The software will then use the payment terms from the customer agreement to automatically calculate the payment date. Enter the details you want to appear on the invoice, confirm the VAT code, confirm any discount and then post the invoice.  The software then automatically updates the nominals and job costings. It couldn’t be simpler.

Payroll

By using our PAYE Plus payroll software, that forms part of our CIA software, you will be meeting the HRMC’s requirements for PAYE for both year end and in year electronic filing as well as Real Time Information (RTI). One of the main advantages over other payroll software is its integration with job costings allowing you to directly link a worker’s costs to a job, including holidays, absences and any indirect costs. It allows the flexibility of making payroll payments weekly, fortnightly, every four weeks or monthly and will calculate all deductions for you, including any loan repayments.

Nominal Ledger

The Nominal Ledger within CIA software includes everything you would expect to see for an accounts package of this type.  One of the main advantages are the automatic VAT return calculation, giving you everything to hand when it’s time to make a return, and the feature allowing you to run detailed transactions lists when needed whether it be by audit number or by date.  CIA Nominal Ledger is extremely feature rich and includes self-reversing journals, tailorable profit & loss and balance sheet reports, a user definable nominal structure, a period end close down option.  It is fully VAT compliant and gives the flexibility of unlimited periods, plus the ability to export to Excel, Word, PDF or email.

Other Ledgers

In addition to Sales Ledgers and Nominal Ledgers the software is equipped with the capability to undertake many other common ledgers including Purchase Orders, Works Orders, Schedule of Rates, Work Tasks, Property Ledger and Fixed Assets.  It also provides the ability to record the plants you have on hire and to generate documents, such as letters, from pre drafted templates in Microsoft Word for example.  This proves particularly time saving in instances such as issuing change of address notifications and maintenance or sales visit confirmations.  In addition to the above the software allows you to post additional information about customers, jobs, suppliers, works orders or sales leads meaning you’ll have information to hand much quicker.

Job Costing Software

With CIA software the manual transfer of costs to a job costing spreadsheet is a thing of the past as the integrated nature of the software ensures this is done automatically, reducing the possibility of input errors.  The CIA job costing software is highly versatile having been developed specifically for the construction industry.  You will find a whole host of features including the ability to generate any number of analysis codes, create templates, allocate budgets to analysis codes and a multitude of job costing reports that can be easily exported to Excel.

Stage Payments

The flexibility of CIA software becomes hugely apparent in the area of stage payments and applications.  You can record the original application for payment, or if preferred you can wait and record the certified value at a later date, and each time an application is posted it will automatically be assigned against a sales application control nominal, giving you one less thing to worry about.  CIA will also record each stage of a payment certificate, including retention, previous certified, MCD, VAT and the amount received. When you initially set up a customer you can select an option to automatically generate VAT invoices from certificates.  It really does make life so simple!

Subcontractors Accounts Software

Contractors in the construction industry are obligated to register with the Construction Industry Scheme (CIS) which lays out the rules around payment to subcontractors.  Our CIA software has been approved by HMRC and it provides complete coverage of subcontractor accounts including online subcontractor verification, submission of monthly returns, calculating subcontractor tax deductions, automatic production of monthly statements, sending HMRC monthly returns, printing or emailing remittance advices and payment certificates and invoice/application posting. Accounts Software for Builders: Purchase Ledger

The CIA software has been designed to be incredibly user friendly and this is very apparent when entering purchase invoices.  The supplier’s code and invoice date are entered then the due by date is automatically generated based on the information held within the customer’s payment terms. Next enter the net amount and VAT code, which is a set default for each supplier and the VAT is calculated and entered for you.  A default discount will also be added if applicable.  Once the invoice is posted both the nominals and job costings associated with the job are immediately adjusted too, providing seamless job costing. CIA purchase ledger allows simple report generation to Excel, Word, PDF or email.
